Reservation Add-Ons

Add-Ons can be set up for reservations in the MyRec.com system. These Add-Ons can be chosen upon making a reservation and will be paid for at checkout. You can create add-ons specifically for reservations to include items like electricity, sound system, trash service, picnic tables, chairs, firewood, equipment sets, and more.

Creating Reservation Add-Ons

  1. Go to Finance from the menu on the left
  2. Select Reservation Add-ons
  3. Click Add New Reservation Add-On
  • Users have the option to:
    • Manage Reservation Add-On Categories
    • Add New Reservation Add-On
    • Search for Active or Inactive Add-Ons by Category
    • Edit All Add-Ons
  1. Type in the Name of the add-on item
  2. Enter the Amount and designate as Discount or Fee
    1. You could use this for a AAA discount or a Veteran's Discount for instance from the management side
  3. Select from the Category dropdown or create a new category first by clicking Add Category
    1. i.e. “Pavilion Add-ons”, “Campground Add-ons”, “Aquatic Center Add-ons”
    2. You should label a category specific to the facility to avoid customer confusion upon checkout
  4. This defaults to Active, but you can change to inactive by clicking the checkbox
  5. Uncheck the Hide from Public box if you want the customer to be able to add this item during public checkout
  6. Click Submit

Manage Reservation Add-On Categories

Edit Reservation Add-On Categories

Users have the option to Edit a reservation category. They can change the Category Name, Order #, and make the Category Active/Inactive.

 
 

Delete Reservation Add-On Categories

Users have the ability to Delete a reservation category. Note: If the category has activities associated, it cannot be deleted. 

 
 

Manage Reservation Add-Ons

Selecting Manage Reservation Add-Ons navigates to all Reservation Add-Ons. Users are able to search by category name using the dropdown and can view Active or Inactive Reservation Add-Ons.

  • Users have the option to:
    • Manage Reservation Add-On Categories
    • Add New Reservation Add-On
    • Edit All Add-Ons
    • Reservation Add

Manage Reservation Add-On Categories

Manage Reservation Add-On Categories: which will take them back to the Reservation Add-On Categories page. 

 
 

Add New Reservation Add-On

Add New Reservation Add-On: will allow the user to create a new Reservation Add-On.

 
 

Edit All Add-Ons

Edit All Add-Ons: which will allow them to change of this information, and they have the ability to change the Amount to Discount or Fee.

 
 

Reservation Add-On ‘Name’

Reservation Add-On ‘Name’: will allow the user to make changes directly to that Reservation-Add On.

  • Users are able to:
    • Update the Reservation Add-On
    • Cancel any changes
    • Delete the Reservation Add-On. If the category has activities associated to it, it cannot be deleted 
 
 
 
 

Add New Category

Will allow you to add a new category that can be selected when creating a new Reservation Add-On.

 
 

Edit All Categories

Will allow you to change a previously created Reservation Add-On Category Name, Order # or to make the Status Active or Inactive. 

 
 
 
 

Search for Active or Inactive Add-Ons by Category

Users are able to search by category name and can view Active or Inactive Reservation Add-Ons.

 
 

Edit All Add-Ons

  • This report will show the: 
    • Name
    • Amount
    • Allow the user to change the Amount to Discount or Fee
    • Category
    • Order Number
    • Status
    • Hide from Public
 
 
 
 

Adding on a Reservation Add-On During a Reservation

Unlike an add-on product, you do not need to add the Reservation Add-On item to a specific facility. When you complete checkout on the management side, or when the customer completes checkout on the public side, there will be a button to for Reservation Add-ons. This is why categories are important and should be named specifically for the facility where the add-on is available. You don't want customers adding items that are not available at the site they are reserving.

Management-side Reservations

  1. Follow the steps to Create a Reservation
  2. On the Edit Facility Reservation screen, click the Add Add-ons button near the bottom in the Schedule & Fees section of the page
  1. Choose the correct selection from the Category dropdown
  2. Click the Add Item link next to the items you are adding to the reservation
    1. You can click Remove Item from this screen as well if you make an incorrect selection
  3. Click the Close button
  1. Complete the Disclaimer checkbox
  2. Click Update Reservation
  3.  You will see the Reservation Add-ons section of the Review Facility Reservation screen now shows the add-on(s) and include the cost per item
  4. Click Edit Reservation Add-Ons to make changes
  5. Continue with the rest of the checkout process

Public-side Reservations

  1. Follow the steps to complete a public-side reservation
  2. On the Online Reservation screen, your customer will see a Add Add-Ons button to click
  3. The customer should select the correct choice from the Category dropdown
  4. Click Add Item for each add-on they want to purchase
  5. Click the Close button
  1. The customer can now complete the checkout process and will see that add-ons in their reservation fees
 
 

Accessing Purchased Reservation-Add Ons

The purchased Reservation Add-On will be included on the invoice (first screenshot below) and on the Reservation Add-On Adjustments Report for the reservation.

Reservation Add-On Adjustment Report

Reservation Add-Ons purchased during a reservation can be viewed through the Reservation Add-on Adjustments Report. Select the date range and category to search. Results show reservation add-ons during the selected time frame with the ability to export the list. 

  1. Go to Reports from the menu on the left
  2. Select Financial Reports
  3. Click Reservation Add-on Adjustments from the Sales Reports section
  1. Set the Start Date / End Date and select the Category
  • Users are able to view the report by:
    • Invoice Date: will show results by the invoice date during the selected date range
    • Reservation Date: will show results by the reservation date during the selected date range
  • Users are able to select a Location that will be filtered in the results
  • This report will show the Invoice #, Account, , Location, Date, the Reservation Add-on purchased, Invoice Date and the Amount that the member paid for the Reservation Add-On
  • This filtered report is able to be exported
