There are many possible ways to set up your golf program for tee time reservations in MyRec. This is just one variation that is commonly used. Each department has unique policies for their golf course, so this sample setup is specific to a course that has 9- or 18-hole options and assumes that at least one player will need to pay their fee online in advance to hold the tee time. Additionally, the scenario here is that golfers can reserve a tee time online both individually or for a group up to four golfers and that tee time will no longer be available to other users. The registration will be in the one golfer's account, and they will have the option to pay in full or just pay for their single registration. Other golfers in the group can pay their fees at the pro-shop desk when they arrive and sign the disclaimer sheet. Activity: Single and Multi-player Group Tee Times
In this sample, a single golfer from the group can book the tee time for up to four players by choosing the date and time for their game. That golfer can choose to pay either for just their fee or for the total fee for the group. If the player just pays their fee, the golfers will pay the remaining balance on the tee time registration at the pro-shop desk right on their MyRec registration.
Program Settings
- When you create this program, be sure to check the box to Use Program Subheadings and choose Advanced Activity for the Program Type
- Include all of the details for booking a tee time at your golf course in the Description field
- If you skip over the subheading or the program type settings, you will need to start over since those settings cannot be changed when you leave this page
Creating the Subheadings
- Divide your tee times into subheadings by using the Add Subheading button in the top right
- 9-hole tee times should be separate from 18-hole tee times
- Private group tee times (9- and 18-hole) should also be in separate subheadings
- Using subheadings make it easier for the public user to sort through their options for tee time registration
- Include the description of the course, pricing per golfer, payment procedure, and any other expectations on each subheading description
- Click Submit
Create Activities for Tee Times
You will want to use the clone feature for this portion of the setup to save time. First, you will create the earliest tee time of the day, then you will clone that activity and edit the schedule for the different tee times through the day.
- Within the subheading, you will build your activities by clicking the Add Activity link
- Activities cannot be cloned outside of a subheading, so you will create the initial tee time activity for the 9-hole, 18-hole, and any other subheadings, then clone the original activity multiple times within the subheading
- Enter the Activity Name as the tee time
- Select the Category
- Submit the info using the green button
- Create the schedule including every day for the season that you offer tee times
- The start time is the tee time (in this example, there is a tee time every 10 minutes)
- Using the Location (Other) field allows the calendar to stay clear of all the tee times but still gives guests the location name
- Put the name of the course in the Other text field
- Select every day of the week the tee time is available
- Add exclusion dates
- Click Create Event Dates
- Click Save Info and Add Pricing Options at the bottom of the next screen
- Select Single Day from the pricing option dropdown and click Add
- Set up your first pricing option for one player
- This example is 1 player - 18 holes
- The fee label can be the same at the name
- Set the fees for the single player on 18 holes
- For this pricing option, you will not Allow Deposits
- If you don't allow same-day booking, set the Registration Deadline
- This example allows for same-day booking if the tee time is still available
- If you do not allow more than one tee time booking in a single day, set this value to 1
- This example does not allow for more than one booking in a day
- Include a brief description of the pricing option
- Include a longer description of the pricing option
- Click Submit
- Once you complete the first pricing option, you can click Clone this Pricing Option to save yourself some time
- Change the name to reflect the number of players each time you complete this clone (i.e. 2 Players - 18 holes)
- Change the fee label as well
- Update the pricing to reflect the number of golfers
- For multi-player pricing options, turn on Allow Deposits but don't make them adjustable
- Set the deposit fee to the amount for one player, in this example $40.00
- Other settings should be able to remain unchanged
- Click Submit
- Clone the remaining pricing options for the rest of the golfers who could share a tee time
- Finish setting up the activity by assigning the budget group, the registrant settings, and requirements for registration
- Complete the activity creation
- Now, you will clone the first tee time activity for each tee time offered during the day
- For instance, this was a 6am tee time, so I will clone it again for 6:10, 6:20, 6:30 and so on
- The cloning process takes only moments to complete all the steps you manually completed above, so you can see why this approach is suggested to save you a lot of time

Public Side Walkthrough
This demonstration represents the scenario where a single golfer will book the tee time for their party and have the option to pay either for their portion only or for the entire tee time for all golfers. Any unpaid balance would be collected by the staff at the pro shop when the golfers check in for their tee time.
- Navigate to the Program tab and select the correct golf program from the list
- Click the tee time activity
- Review the program description
- Click Register ______ for the tee time and round
- Select the pricing option for the number of golfers in your party
- Check the date for the tee time you selected
- Note that a 0 seats left display means that tee time is unavailable
- Click Add Selected
- On this demo, there is a restriction of one time slot per day, so you will not need to add additional slots
- Click Continue
- Review and click Check Out
- Read the disclaimer and check the box to agree
- Click Check Out Online
- Choose to pay the individual fee or to pay in full the entire fee for the booking
- Click Continue
- Continue to the credit card form
- Select an existing card for payment or Add a New Payment Method
- Complete the steps for payment and submit
Facility Reservation: Single Player Tee Times with Add-on Players

Add a new facility for your golf course
- Include a status note similar to the example
- If you hide the facility from the public calendar, users will not be able to see reserved times – if you make the facility visible to the public calendar, users will be able to see reserved times on the calendar when they view it from their screen
- Use the Facility Type feature to identify this facility as a “golf course”
- Use the Exclusion Dates feature to identify dates the facility will be closed and unavailable to the public, i.e. July 4th, September 2nd
- Set the Rental Info setting to allow rentals and public reservations, but not to allow public requests
- If you require a deposit to hold the tee time, add a Default Deposit
- Create Rental Restrictions for the facility that are Set Blocks and apply those blocks to reservations but not requests
- Add rental availability for the facility
- Add the set blocks, typically in increments of 10 minutes to reflect tee times available
- Add an Invoice Note to explain the deposit and payment process
- You can skip the permit notes since you won't be using permits
- Add the booking instructions again to the Fee Schedule area for easy visibility
- Copy and paste your disclaimer
- Click the green Submit button to continue
- Create the tee time schedule for the course
- If you are using 10 minute increments, set up as shown below
- The end times can be the same as the next slot's start time
- Use a label for the customer to easily understand the tee time
- Complete the fee type
- Enter the Resident fee
- Enter the Non-resident fee
- Select the days of the week that the specific tee time is available
- For instance, if you open at 8am on Sundays, do not check the Sunday box for times earlier than 8am
- Click Update
- If you have additional requirements like questions or forms, add those to the Requirements tab on the facility screen

- Click Reserve this Facility
- Choose your date
- Check the box to select your tee time
- Click the Save Dates button
- Click the Add Add-Ons button
- Click Add Item for the number of golfers and holes for your tee time
- Add the Purpose: 18 Holes or 9 Holes, your Last Name, number of golfers
- Include the head count (1-4 golfers)
- Read the disclaimer
- Check to accept the disclaimer
- Click the Continue button
- Review your tee time reservation and click Continue to Checkout
