Alternative to Email Blasts

Sending Emails to MyRec.com User When Blasts are Unavailable

In the event that you don't want to or cannot use the MyRec.com email blast feature, you can still take advantage of the system's email address book and sorting/filtering features to send emails from your department email provider. This will allow you to send emails to those same users that you would in a blast, except via your email provider instead.

Email Blast Permissions

To use MyRec.com email blast features for this purpose, you must either be an administrator in your site or have email blast permissions added to your user access by one of your administrators.

 

Accessing the Recipient Information

  1. Click on the Administrative menu on the leftside navigation bar
  2. Select Email Blast
  3. Click Send New Email in the upper right corner
  4. Select which type of blast you would like to send and click the link

  1. Enter the search keyword or any applicable filter you wish
  2. Click Search
  1. Select to send the email to a specific activity, multiple activities, teams, programs, or other grouping based on your email blast type selection in step 4
  2. Click the Send to… button
  1. You can mock the Subject line and Message Body, or enter the actual content for documentation purposes, then select the radio button for the Notification Type
  2. Click Continue
  1. On the following screen, click View Recipients
  1. Now, you can copy and paste the email addresses for that audience to use in your departmental email

Sending the Outside Email to MyRec.com Users

If you want to use this email list after navigating away from the Recipient List display, you can go to your Email Blast list and access the email address there.

  1. View your Email Blast history or list
    1. Find the email with the correct addresses
  2. Click Non-Recipients to obtain the addresses for those who would not have received the blast and click Recipients to obtain the addresses for those who would have received the blast
  1. You can now copy and paste those addresses into the To, CC, or BCC field of your department's outgoing email message and send the message

This allows you to take advantage of the MyRec.com rosters, reporting, accounts, and other filter/sort features to distribute specifically directed emails even when you do not have access to the email blast feature within MyRec.com. You can still send out program emails, balance due emails, account emails, reservation emails, or many other audience-specific emails by using this method in combination with your department email provider if the situation necessitates.
