Which subscription do you need to change over to an RPP?

Advanced Activity Subscription

 

Fixed End Date Membership Subscription (i.e. seasonal, single year)

 

Lifetime, Auto-Renewal Extension Membership Subscription

 
 

  1. Navigate to the original advanced activity with the subscription pricing option
  2. Create a clone of the activity and advance the dates for the next session/season/year
    1. Change the title of the activity on the bottom of the screen 
      1. i.e. "Before Care 2023" becomes "Before Care 2024"
    2. Even if the subscription appears to clone in this process, it will have to be changed to an RPP because subscriptions have been replaced with registration payment plans
  3. In the newly cloned activity, click the pricing option that has the subscription attached
    1. You may have pricing options cloned over that do not have an attached subscription requirement--only the subscription pricing options need to be edited to offer payment plans
  4. Change the ARP dropdown from subscription to Payment Plans
  5. Set the payment offset to match your desired payment calendar
    1. Subscription start date is when the payment begins
    2. Suggestion: rename the pricing option to reflect that it offers a payment plan
      1. i.e. “Monthly auto-pay” becomes “Monthly payment plan”
  6. When the public user registers for this advanced activity and selects the pricing option for a payment plan, they will enroll themselves into the recurring payment plan and enter applicable payment information
 

  1. Navigate to the original membership 
  2. You will be adding a new length for the RPP option and making the old length for subscription inactive
    1. Note the name of the length you are replacing
      1. i.e. Community Center Pass - Annual Subscription
    2. Review the settings so you can make a new length with the same setup
      1. Suggestion: Include “Payment Plan” in the title of the new length
  3. Create a new membership length from the leftside navigation bar
    1. Make the same setting selections that you review in step #2b above
    2. Select Payment Plan from the dropdown
  4. Add Membership Length to each Type necessary, choosing the newly created RPP length from the list
    1. Once the new length is added to each type that had the original subscription length, go to the Membership Length link within each Type and click to edit the length
    2. Check the Active box so it is Inactive
      1. This will hide the length from the public and management checkout
  5. Existing subscriptions will continue until their end date
    1. No new subscriptions can be created
  6. Now, just have users register for the membership registration payment plan on the public side when you open the registration window, and they will enter all applicable payment information to enroll in the payment plan

Departments with ongoing membership subscriptions (lifetime, auto-renewal, or extension) that are not end-dated will want to complete two steps at this time to prevent additional subscriptions from being purchased while your department transitions to RPP memberships. These membership lengths are often set to 9999 years.

  1. Navigate to the original membership 
  2. First, you will be adding a new length for the RPP option to replace the subscription length and second, you will be making the old length for subscription inactive
    1. Note the name of the length you are replacing
      1. i.e. Community Center Pass - Annual Subscription
    2. Review the settings so you can make a new length with the same setup

  3. Create a new membership length from the leftside navigation bar

    2. Select Payment Plan from the dropdown
  4. Add Membership Length to each Type necessary, choosing the newly created RPP length from the list
    1. Once the new length is added to each type that had the original subscription length, go to the Membership Length link within each Type and click to edit the length
    2. Check the Active box so it is Inactive
      1. This will hide the length from the public and management checkout
    3. Suggestion: go to the Membership Length link on the leftside navigation Membership menu and edit the membership subscription length to have a specified end date
      1. This will give your department time to notify subscription members of the move over to registration payment plans
  5. For now, existing subscriptions will continue until subscriptions are completely discontinued or until the end date you entered above in #4c
    1. No new subscriptions can be created
  6. For any new registrations, users will only be able to purchase the RPP Membership from the public side and enter all applicable payment information, 
    1. Your department will not need to do anything with these new RPP Memberships because they will not be enrolled in the old, subscription ARP
  7. MyRec.com will provide additional instruction (i.e. webinar, KB articles) for these departments during the next phase of the RPP transition

Transitioning from Recurring Subscriptions to Registration Payment Plans for Memberships

Registration Payment Plans (RPPs) for Memberships have many similar features to the Recurring Subscription feature, which was the auto-pay solution through Authorize.net for your membership subscriptions. However, RPPs for Memberships have several additional advantages for our clients because they are created within the MyRec.com system, see Registration Payment Plans for Memberships.

If the credit card payment is declined once, the subscription will be closed and the recurring payments will stop. This will also expire the membership. If this happens, a new membership will need to be purchased if the member wishes to continue If the credit card payment is declined once, the RPP for Membership will pause after a decline, and the membership itself will pause. A public-side user or management-side user can Update the Payment Method. Then, management will unpause both the RPP and the membership. 
Recurring subscription payments display only the next, upcoming payment RPPs for Memberships display the next 10 payments on the View Payment Plan screen

In the Main or Registrations tab of an account, you can click into a subscription for the purposes of cancelling it, seeing the payments that have occurred so far, checking the subscription's status with Authorize.net, or updating the credit card In the Main tab of an account, you can click the View Payment Plans link on the top right then the Plan # for the purposes of pausing, cancelling, seeing the payments that have occurred so far, checking the subscription's status with Authorize.net, updating the credit card, and viewing the edit history
You can use the Payment Subscription report to see if there are any credit cards being used in recurring payments that have expired or are about to expire The Expiring Cards link in the Needs Attention box on the management homepage will show up when there are cards about to expire
