Fee Adjustments allow you to have preset discounts and additional fees that will apply to registrations and memberships based on specific requirements being met. For programs/Activities, you can set fee adjustments to apply to individual activities, or you can have them apply to all/select activities within a program.
For each Fee Adjustment, you will need to select the Adjustment Type (See below for detail on types). You can also select if this fee adjustment will apply to Residents and/or non-residents. The display name will show on the invoice as an adjustment, so if you are giving a discount for a specific reason, you can name it appropriately.
Fee adjustments can either be flat dollar amounts, or they can be percentage based. Percentage-based adjustments also allow for the fee adjustment to be applied to the adjusted fee.
Below you can find additional information on how each type of fee adjustment works.
Age Discount
The Age-based discount will provide a discount to individuals within the age range specified on the Adjustment (Ex. Senior discount applies to individuals 55+). The age range can be left open to allow for open ended age groups (ex. 55+, or youth 5 years and under).
Grade Discount
The grade-based discount will give a discount/additional fee to individuals within the grade range specified on the Adjustment (Participants in grades 1-6 get a 50% discount on registration).
Early/Late Registration Adjustment
The Early/Late Registration Adjustment allows you to set a time period for either a discount/fee to occur. If you would like to allow an “Early Registration Discount” you will need to specify the date range that this discount will apply (ex. For an early bird discount for the month of October you would set your date range for 10/1-10/31/20XX and select discount).
In both examples below, the adjustment amount is the same, but the difference is one is set as a discount and the other is an additional fee and the date ranges are different because the late fee will be applied at a later date.
Additional Member Discount
The Additional Member discount (often used as a sibling discount) allows you to discount registrations after the first registration in a household. For this setting, you need to determine which registrations the discount will apply to.
The first number (the lower range) by default is 2, and this will result in a discount applied to the second registration from the household. The second number (the upper range) by default is 10, and this will result in the discount being applied to each registration, up to the 10th registration within the household.
Membership Adjustment
The Membership Adjustment allows you to provide a discount based on the customer having an active membership. To use this, you will need to have memberships active on your site. Select the membership that will be eligible for a discount, and if you would like, you can also specify the Membership Type/length that is eligible. Other advanced options are available to further limit/manage how the discount will apply to registrations.
Promo Code
Promo Codes will give a discount to your customer for entering the correct Promotional Code. Your site supports 4 different Promo Code Types at the Activity Level:
Unique
This promo code is a one-time use for one customer. Once it has been used it will not work for anyone else who tries it.
Universal
Universal will work for any/all of your customers, multiple times.
Once Per Member
This type of promo code can only be used once per member.
Once Per Account
This type of promo code can only be used once per account.
You can now input your promotional code that customers will enter to receive a discount (ex. Spring30 for a 30% off) and set the expiration to stop giving the discount after a specific date.
Global Promos
Global Promos operate differently from activity promo codes. Since the activity fee is readily available for the staff to know how much to use for a discount, the $ amount is available for a promo code discount at the activity level. However, global promos cover items of varying prices that would require the staff to know all current and future prices to use an accurate $ amount. For that reason, the staff can only use the % discount.
Online Registration
The Online Registration Adjustment will issue a discount/fee based on the customer completing their registration online.
Prorate Discount
The prorate Discount will give your customers a discount when registering for an activity with dates that have already occurred. The adjustment amount is applied per day that the customer has missed (ex. if a class has 5 total dates and a customer registers after 2 classes have happened, they would get a discount for each of the 2 missed dates). This also has an option to Include Current Date as Missed, if the date the registration occurs on is a scheduled date for the activity, this includes it in the number of dates the user will not be attending.
Single Member Discount (Program Level)
The single member discount can be used to give customers a discount when registering the same person for multiple activities within a program (A customer may be eligible for a discount by registering for 2 sessions of yoga).
This adjustment will apply to activity registration number 2 to 10 within this program.
This setting allows you to adjust how the discount will apply. The first number (the lower range) by default is 2, and this will result in a discount applied to the second registration for this customer. The second number (the upper range) by default is 10, and this will result in the discount being applied to each registration, up to the 10th registration for this customer (within this program).
This adjustment will apply to activity start dates within 90 days of each other.
This can be changed, but it will be within 90 days by default. You are encouraged to exclude activities you would not like the discount to apply to in order to manage how the discount is used.
