Email Address Lists Outside of Blasts

You can capture the email addresses for your public users in a variety of ways in addition to through the email blast process. This will allow you to identify groups of recipients and copy those addresses into your department email for outgoing messages. Using the BCC field is suggested to protect user email addresses from visibility.

Account Emails

Age, grade, coaches, organizations, and more

  1. Open the Accounts menu on the leftside navigation bar
  2. Select View/Search Accounts
  3. Click the Export Accounts link on the far right
  1. You can select any of the boxes or keep it simple with just the users' first and last names and emails
    1. Be sure to check the Email Address checkbox
  2. To sort by age, gender, grade, or residency, select the appropriate checkboxes to add columns to your spreadsheet for sorting
    1. To filter for organizations, select that option from the dropdown
    2. To filter for Primary Members or Coaches, select from that Member Types dropdown
    3. To filter by birthdate range or grade, enter the dates in the birthdate fields or select from the grade dropdowns
  3. Click the Download button to continue
    1. Open the file download in your preferred spreadsheet

The spreadsheet will populate with the column data you selected, and you will be able to sort then copy/paste the email addresses into your department's email provider. In the following example with Coach emails, any coaches who did not have an email on file will not have an entry in their spreadsheet cell.

Activity Emails

  1. Open the Reports menu on the leftside navigation bar
  2. Select Activity Reports
    1. Click the Export Rosters link in the first column
  3. Set the date range and search activity name then click Search
  1. You can select any of the boxes to add columns of data or keep it simple with just the users' first and last names and emails
    1. Be sure to check the Billing Email and Notification Email checkbox to ensure that you get a good contact address

  1. You will need to select the activities from the bottom of the page by checking the boxes
  2. Click the Export Selected Activities button

The spreadsheet will populate with the column data you selected, and you will be able to sort then copy/paste the email addresses into your department's email provider. 

Membership Emails

  1. Open the Reports menu on the leftside navigation bar
  2. Select Membership Reports
  3. Click the Export Membership link in the first column
  1. Select from the Membership dropdown
  2. You can select any of the boxes to add columns of data or keep it simple with just the users' first and last names and emails
    1. Be sure to check the Billing Email and Notification Email checkbox to ensure that you get a good contact address
  3. You will need to select the membership status to proceed
  4. Click the Export Selected Memberships button
  5. Click the Download button to continue
    1. Open the file download in your preferred spreadsheet

The spreadsheet will populate with the column data you selected, and you will be able to sort then copy/paste the email addresses into your department's email provider. In the following example with membership emails, any members who did not have an email on file (i.e. minors) will not have an entry in their spreadsheet cell.

Reservation Emails

  1. Open the Facilities menu on the leftside navigation bar
  2. Select View Reservations
  3. Set any filtering preferences like location, dates, or categories and click Submit
  4. Click the Export link at the top of the report
    1. This will display the renter email addresses in your spreadsheet

The spreadsheet will populate with the column data for the reservations, and you will be able to sort then copy/paste the email addresses into your department's email provider. 

Balance Due Emails

  1. Open the Reports menu on the leftside navigation bar
  2. Select Balance Due Reports
  3. Click the Balance Due by Account link
  1. Set the date range for the report and click Search
  2. Results will provide the email address for the account with the balance due
  3. Copy and paste the email address into your department email

  • Site alerts - adds a banner with urgency to the top of your public page
  • Site announcements - adds a block of content to your public page that matched your page theme
  • Direct account messages - allows you to reach out to account users when they view their Account Overview
